Modern payroll reporting for consimo

Consimo's goal was to create a customer portal and a collection platform that integrates modules such as the digital processing of salary notifications, invoicing, dunning, taxation, master data maintenance, accounting, reporting and output management. It was of utmost importance to replace the existing solution quickly and without risk and to create an efficient and customer-oriented system solution.

To achieve this, a wide variety of technologies were evaluated. In the end, Consimo opted for the cloud-based technology from ServiceNow. The decisive reason for choosing ServiceNow's SaaS platform is its high degree of personalization of services. It allows integrated and cross-departmental work, reduces redundancies, eliminates human errors and offers a simple and understandable user interface. Another important aspect is the possibility to integrate and interact with upstream and downstream actors in the declaration and collection process, which are mapped in the system landscape. We were allowed to take over the implementation of the project as a Swiss IT service company, due to our lived Swiss quality standard and expertise with ServiceNow. The agile project realization took place within a few months.

The customer portal enables customers of FAR (Foundation for Flexible Retirement in the Construction Industry) and Parifonds Bau to submit their annual salary notifications online and via a guided digital process. Furthermore, employers no longer need to submit separate wage notifications for their employees, as today a single notification via the digital portal Bau is sufficient, thus reducing the volume by 50%. The triage and plausibility checks of the entire wage reports for the company with the individual wage reports are carried out in the background.

In addition, the customer portal serves as a B2B platform for the nearly 9,000 connected companies to exchange documents and extensive forms of the 91,000 employees and to ensure secure and protected communication. The collection module includes the classic collection of receivables and the associated dunning process for the assigned tasks. With this solution, Consimo has an innovative and effective service platform that meets the needs of all stakeholders. Secure communication and easy interaction with, among others, Collecta, the ISAB register (Information System Allianz Bau) or the Unique Person Identification- Register (UPI) is guaranteed.


Thanks to the fully electronic implementation of the dunning process and the seamless transition to peripheral systems that follow up on debt collection, deadlines and dates are monitored automatically and the administrative workload for employees is reduced. The quality and timeliness of master data has improved, which has a positive impact on the quality of service and processes in reporting. New requirements can now be quickly and easily adapted and taken into account in the reporting process. Output management has been enhanced by functions such as e-billing and e-mailing, which means security, flexibility and speed, especially for the customer. The ServiceNow technology represents the superordinate service portal, which is connected to the web-based management and controlling solution Abacus in order to be able to guarantee e-billing, among other things.
The customer process in payroll accounting and collections is now digitalized end-to-end and can be handled paperless. User-friendly interfaces, automatic plausibility checks of wage notifications and the automatic dispatch of registration letters significantly reduce the number of individual processing steps in wage and collection management. The workflow-supported process automation relieves the clerks of unnecessary manual work.
Furthermore, the new system landscape also ensures document management without risking data quality and up-to-dateness.
Ultimately, it can be said that digitization in the social insurance sector and public institutions has become indispensable. The use of new technologies and innovations is an important cornerstone for countering future developments in the labor market, such as the shortage of skilled workers.
The shift from clerk to case manager is taking place. The job profile for clerks in payroll and collections will change significantly. Typing information on physically available forms and applications into the specialist systems will no longer be necessary. Instead, the time that has been freed up can now be used to process complex issues and, ultimately, to work as a case manager.


The ServiceNow technology enables modern workflow management and is characterized in particular by its high flexibility. The ServiceNow technology convinced us in every respect and we are glad to have chosen this technology.

Cloud-based technologies such as those from ServiceNow are characterized by their workflow-supported processes and their automation. Consimo's standard processes could thus be digitized and migrated quickly, flexibly and individually. This creates transparency and an increase in the quality of the processes through their harmonization and streamlining. The administrative effort for all stakeholders could be perceptibly reduced and a clear and customer-friendly customer portal was set up. Overall, the ServiceNow technology offers a state-of-the-art, user-friendly and efficient solution for consimo's specific requirements, which will also enable further business processes to be digitized end-to-end in the future. For example, in the fall of 2023, Parifond Bau will also digitize its education service offering, connecting around 50 educational institutions to ensure secure communication and payment of training & development grants to employers via a single digital service platform. With this step, the legacy AS/ 400 system can be completely discontinued by the end of 2024.
