Reporting portal for the efficient and complete recording of applications

Digitizing the reporting system significantly speeds up, simplifies, and clarifies the entire process - from connection requests to installation, commissioning, and safety certification.

"In close cooperation with AEW, we have developed a customer-oriented solution with a quality product based on ServiceNow. It offers significant advantages for the company and end users," explains Adrian Alioski, project manager on the Arctive side. “The Arctive project team is very knowledgeable about electricity, which meant that the project progressed quickly.”

Core element: Central portal for AEW reporting based on ServiceNow

The core element of the solution is a central AEW reporting portal based on ServiceNow. All processes can be initiated, controlled, communicated, and viewed by all authorized persons.

Manual entry of a large amount of data, editing and saving PDF documents, and working with different communication channels such as email and/or telephone are no longer necessary. 

This not only leads to a traceable exchange of information and data. Rather, the portal is an effective tool for minimizing incorrect entries and manual effort. It ensures the accuracy and completeness of the data. In addition, it guarantees a completely transparent view of the entire standardized process at all times. Information flow, results, and documentation are clearly bundled on one platform.

"In addition, the time required to enter notification data has been reduced from around one hour to just a few minutes. This time saving not only saves nerves, but also enables the highly qualified AEW specialists and technicians on site to concentrate efficiently on their core business," says Alioski. Further advantages include improved planning and coordination of standardized processes between the regional centers in Bremgarten, Lenzburg, Rheinfelden, and Turgi and the headquarters in Aarau. Manual data maintenance in SAP has been largely automated with ServiceNow.

Efficient collaboration
Installers can be involved at an early stage. They are immediately shown where the property is located. The system automatically provides basic, useful capacity information via technical data such as meter numbers—there is no need for time-consuming research. This prevents incorrect entries and helps to ensure that the solar system, heat pump, or charging station is correctly registered for the most efficient performance. Once master data has been documented, it does not need to be re-entered for further installations, but is stored reliably and correctly in the system.

Customer focus with maximum market knowledge

Alioski adds: "Thanks to our focus on Arctive.Energy under the e2050 brand, we have acquired a high level of expertise in the energy sector in recent years. This helps us to develop digital industry-specific solutions that meet market and company needs." Another guarantee of success is Arctive's approach to its work: "We have personally involved all direct contacts in the regional centers. Direct, continuous exchange is one of our strengths. It was a decisive factor in the successful digitization of the central reporting processes at AEW.

The solution has been repeatedly tested in trials and continuously improved. It was introduced step by step with minor adjustments along the way. Currently, more than 700 portal users have already registered and more than 1,409 requests have been completed.


Follow-up projects planned

Further progress is to be made in follow-up projects. The task at hand is to improve the process of periodic inspection of electrical installations. For work inspection and defect rectification, this means moving away from paper forms and toward an integrated mobile app. "We are delighted to be able to contribute to significant simplifications and convenience with further projects in the digital area and thus drive forward the energy transition," explains Adrian Alioski.
