Arctive creates digital solution for requests for further training in the construction industry

Over 6,500 companies benefit The process of reimbursing benefits for further training for employees in the construction industry is becoming much more transparent, simple and efficient. Thanks to Arctive. The company has expanded its previously established declaration and collection platform to include a further portal for benefit applications for further training in the construction industry.

The ServiceNow®-based system recently went live. The response from customers in the construction industry, training providers, consimo as the platform operator and the Parifonds Bau association has been overwhelmingly positive.

'We are delighted to be able to go live with the portal after almost nine months of intensive collaboration in a spirit of partnership. An established project team, top support from the companies involved and the client Parifonds Bau, cooperation with the training providers and short decision-making paths were the guarantors for the successful launch,' says Martin Markovsky, Principal Expert at Arctive and head of the project.

6,500 companies benefit

Until now, construction companies had to manually fill out, print and sign a form for each employee to account for training measures. The paper then had to be sent to consimo - the service and competence centre in the extended social insurance sector. There, the applications were checked again, entered the systems by hand and the approved amount was paid out.

Arctive has now used its expertise to establish a digital process. All further training courses are listed in a structured course catalogue. Companies can register several employees for the course in a single process. Previously, a separate form had to be filled out for each individual employee. Stored check mechanisms for authorisations and completed services run automatically. Manual processing is currently only required for personalised exceptions.

This results in increased efficiency, transparency across the entire process flow, significant simplification and a low error rate. In addition, the processing status can be viewed at any time. Around 6,500 companies are currently authorised to apply for refunds via the Parifonds Bau.

Overcoming challenges as a team

The biggest challenge for Arctive was to get the master data from the training providers so that key information could be entered into the central course catalogue. 'The success is a team effort. Everyone involved was convinced of the benefits. We all pulled together,' says Martin. Arctive also trained consimo's administrators in how to handle the changed processes. 'It was also important to communicate these new processes to the customers and make them as easy to use as possible,' adds Martin. Arctive is now working on further improvements and optimisations for extended automation.

Thanks to Arctive's high level of expertise, we have successfully completed another sub-project together. There is a strong relationship of trust that has developed from the cooperation and successes of the previous major project and can be best described as transparent, professional and thoughtful.

The previous portal was a legacy system, a confusing and unclear course structure, which we have successfully standardised with Arctive to create an efficient portal with significant customer benefits. Thanks to Arctive, the entire process, from application to reimbursement, is now fully digitalised and efficient.

Second part of a breakthrough solution

The digital platform solution based on ServiceNow® is the second part of a larger project. In the first part, Arctive successfully implemented a declaration and collection platform for salary reports via a self-service portal. "The training platform, which has now been activated, follows on seamlessly," says Martin. The project is ongoing. In the future, the training providers will be integrated even more closely.

The platform itself was very specific and complex, so we needed a partner with the comprehensive expertise and know-how required to seamlessly connect the two platforms. Arctive has precisely these skills and successfully implemented the link in an efficient and proactive style.

consimo is a service brand for the AK 66 compensation fund. The brand was founded by AK 66 to disburse funds for state pensions and occupational pensions. In addition, consimo has received permission from the Federal Council to provide so-called “delegated tasks” for the Parifonds Bau. These include, for example, further education. The Parifonds Bau is a jointly managed fund of the Swiss construction industry. One of its aims is to provide employees in the construction industry with various further education courses. The services for further training are managed by consimo.
